1. What We Collect

  • At booking: name, email, phone, company name (optional), intended use of the room, attendee count, A/V needs, and your marketing opt-in choice.
  • After a visit: any rating, comments, and testimonial permission you choose to provide. We also record when a Google or Facebook review link is opened, but we cannot see or confirm whether you posted a public review.
  • Referral programme: referral codes, the customers and bookings connected through a code, discounts applied, and rewards earned or redeemed.
  • Automatically: IP address and browser information (for security, fraud prevention, and troubleshooting), and your booking history.
  • Never collected or stored by us: payment card details. Card payments are processed entirely by WiPay, a PCI-DSS compliant payment provider.

2. How We Use Your Data

  • Processing payments, confirming bookings, sending reminders, issuing invoices and receipts, and requesting service feedback after a completed booking.
  • Reviewing private feedback to improve our facilities and customer service. Comments are used publicly as testimonials only when you give permission; your name requires separate permission.
  • Validating referral eligibility, applying discounts, preventing duplicate or self-referrals, and issuing earned rewards after a referred booking is paid.
  • If you opt in: sending promotional emails about rooms, discounts, and events. You can unsubscribe at any time via the link in every marketing email; opt-outs are honoured within 24 hours.
  • Anonymised analytics: booking trends, peak times, and marketing effectiveness.

3. Who We Share It With

  • WiPay: payment processing only.
  • Our email provider: transactional emails (confirmations, reminders, invoices).
  • We do not sell or share your data with marketing agencies, brokers, or any other companies.

4. Data Retention

  • Booking and payment records are kept indefinitely for business and legal record-keeping.
  • Payment card details are never stored by us.
  • You may request deletion of your personal data at any time (booking/payment records required by law are retained).

5. Your Rights

  • Access: request a copy of the data we hold about you.
  • Correction: ask us to correct inaccurate information.
  • Deletion: request deletion, subject to legal retention requirements.
  • Opt-out: unsubscribe from marketing at any time.

6. Security

All data is encrypted in transit (HTTPS/TLS) and at rest. Administrative access is password-protected, session-limited, and logged.
